Trinity United Church Council 2020 Chair: Will Gibson Acting Secretary: Murray Arnold The Council Executive consists of the chairs of the following committees, the Regional Representative(s) and the UCW President. It meets on the second Monday of each month. The full Council meets one to two times a year. The following Committee responsibilities were updated and approved at the February 5th, 2017 Annual Meeting. While a new governance structure is being developed, the committees and their responsibilities remain as below.
COMMUNICATIONS COMMITTEE Thelma Beaudry, Lynda Arnold, Suzette Nelson, Zelda Dwyer The purpose of the Communications Committee is to help the congregation communicate within and beyond the local church. The Committee shall be concerned with
Compiling the annual congregational report,
Publishing a quarterly newsletter according to the following schedule:
Maintaining the mailing and email lists in concert with the Church Administrator,
Maintaining and updating the Trinity United Church website,
Oversight of church bulletin boards, the Welcome brochure and pew pamphlets,
Providing support and volunteers as requested by the Church Administrator.
FELLOWSHIP AND MEMBERSHIP COMMITTEE Ethel Robinson, Marion Boddy, Eleanor Fry, Peggy Peterson The purpose of the Fellowship and Membership Committee is to promote Christian fellowship and to help the congregation exercise its ministry of pastoral care to the congregation and the community and to encourage Stewardship of members' skills and talents. The committee will encourage the building up of the congregation by enlisting new members and helping them integrate into the life and programs of the congregation; and to develop a resource bank of people (their interests, talents, commitments upon which the congregation can draw). The committee shall be concerned with
Assisting in the ministry of pastoral care to the congregation and the community,
Encouraging new members by meeting, welcoming and integrating them into the life and programs of our congregation,
Arranging for fellowship opportunities within the congregation (luncheons, coffee hour, etc),
Maintaining the membership roll, records of baptisms, marriages and deaths in conjunction with the Church Administrator.
FINANCE COMMITTEE Gord Mitchell, Shane Baker, Doug Farrar, Ron Strickland, Larry Mitchell The purpose of the Finance Committee is to administer the finances and encourage Christian Stewardship. The Finance Committee shall be concerned with
Oversight of the Church Administrator's financial responsibilities, Receiving and recording all church givings,
Oversight of the Church Treasurer, Paying of accounts in accordance with the budget, Maintaining and balancing financial statements
Initiating the annual budget in consultation with other committees,
Monitoring the budget in cooperation with the Church Treasurer,
Presenting an independently reviewed financial statement (The Manual 2019 G 4.4) at the annual meeting (The Manual 2019 G 4.2.2)
Oversight of the cheque requisition policy,
Assisting with the planning and implementing of financial campaigns initiated by Church Council,
Monitoring the use of the church computer system and its security.
MINISTRY AND PERSONNEL COMMITTEE Linda Martin, Judy White, Susan Brenciaglia The purpose of the Ministry and Personnel Committee is to provide a confidential setting for support, consultations and assessment of all persons employed by the Pastoral Charge. NOTE: While this Committee, like the others, is responsible to the Church Council, much of its effective work will be conducted quietly in dialogue with the minister, other staff persons and groups within the congregation. Members of this committee must be committed to confidentiality and have gifts of imagination, empathy, willingness to listen and to work with others to effect change. No staff person shall be a member. The responsibilities of the Ministry and Personnel Committee are listed in The Manual 2019 and include
Being available for consultation and support of all staff persons,
Overseeing the relationship of staff with each other and the congregation,
Reviewing responsibilities, working conditions and compensation of all staff persons,
Facilitating annual reviews and evaluation of staff as it relates to the church's goals and programs,
Preparing, reviewing, and revising job descriptions and contracts along with the Minister and other appropriate committee chairs providing input,
Maintaining contact with the Living Waters Presbytery Pastoral Relations Committee. (The Manual 2019 B 7.8.5)
OUTREACH COMMITTEE Diane Schamehorn, Janice Elliott, Bonnie Gaughan, Sylvia Leeder, Doris Monahan, Rick Boddy The purpose of the Outreach Committee is to help the congregation to exercise its dual mandate of justice and love in the world and to encourage Christian Stewardship. The Committee shall be concerned with
Ensuring the congregation is informed of the needs of our world on a local, national and international basis using every available means,
Responding to immediate local needs through the Benevolent Fund, as able.
Promoting with the congregation the church's mission at home and abroad through information and mission events,
Informing the congregation about the Mission and Service Fund, e.g. Minutes for Mission and guest speakers.
Supporting task forces that may exist from time to time to effect beneficial change in our community and in the world (i.e. Ten Days for World Development),
Oversight of the use of Trinity Hall and Kitchen by the Table Soup Kitchen.
PROPERTY COMMITTEE Maurice McGill, David Beaudry, Ed Behm, Judy Hall, Kim Healey, Chuck McClelland The purpose of the Property Committee is to maintain the property of the congregation and to encourage Christian Stewardship of it. The Property Committee shall be concerned with
Long and short term maintenance plans for the property and identification of capital needs,
Supervision of the use of all properties and equipment (except organ, piano and kitchen appliances which are supervised by other groups).
Building security and emergency procedures
The Property Committee shall work with the Church Administrator regarding Assignment of duties for the caretaker and oversight of same in conjunction with the Minister, Oversight of the church facility rental agreements.
WORSHIP/CHRISTIAN EDUCATION COMMITTEE Eva Black, Sheila Petch, Ellen Pickering, Lynne Thompson, Wayne Whitney, Susan Brown, Sue Hicks The purpose of the Worship/Christian Education Committee is to encourage the people of God to gather regularly for worship and to make the act of worship central to the life of the congregation. They also give everyone at any age level a living experience of encountering Christ, growing in the Spirit and developing a Christian lifestyle. This Committee shall be concerned and involved with
Overseeing, with the minister, the service of public worship including welcoming and ushering, the music (choir and organist), lay participation,
Oversight and upkeep of the grand piano in the sanctuary.
Study and experimentation in worship,
Arranging for the Sacraments, including Council Members and method of serving Communion,
Special services, speakers, and pulpit and organ supply,
The use and decoration of the sanctuary,
Oversight of the organist in consultation with the Minister.
Approval of the use of the organ for special occasions, outside of regular church use,
Oversight of the purchase of choir and organist music, and hymnals and Bibles for use of the congregation
Supporting the recruitment of teachers and leaders for the Sunday School,
Supporting the Youth Program and Coordinator of the Sunday School through ongoing assessment of age demographics of Sunday School youth, applying age-appropriate programming, and curriculum review,
Working with the Youth Program and Sunday School to administer the Christian Education budget,
Encouraging the attendance of teachers and leaders at Leadership Training events,
Encouraging study groups within the congregation and ecumenically,
Arranging for adequate supervision of the Nursery during worship,
Oversight of confirmation planning and training in liaison with the minister.
